Ohio SACWIS/RTIS Notes, Tips & Tidbits

NOTES, TIPS, AND TIDBITS

 

1.     Always log off of Ohio SACWIS/RTIS. Do not just “X" your browser window.  If you do not log off properly, you may be locked out out of the system for 30 minutes.  

2.     The Build Number of Ohio SACWIS is located on the top of the screen under your Name and Agency.   If you click on the link, it will redirect to the Knowledge Base Article detailing the changes made in that build version.

3.      The Report link or icon (showing a single sheet of paper) is how you print out hard copies of the forms and information.  

4.      OHC stands for out of home care.

5.      SDM stands for screening decision maker.

6.      CRP stands for case reference person.

7.   Click out of a drop down box field before you try to scroll down the screen. If you don’t click out of a field, when you scroll down it may change your answer in the drop down box field.

8.   The Apply button saves your changes while keeping you on the same screen.

9.   The Save button saves your changes, then takes you back to the previous screen or list page.

10.   The Cancel button does not save your changes and takes you out of the current screen back to the previous screen or list page.

11.   DO NOT use the forward and backward buttons at the top of your screen (on the Internet tool bar).  This will boot you out of the system. 

12.   Action Items:

 Green Circle - your due date is approaching soon (only you receive the action item reminder)

Red Exclamation Point Circle - this item is overdue (you, supervisor and  administrator receive the message)

13.   Activity logs can have up to 10,000 characters. If you need more, you need to start a new activity log or Insert Correction to the existing log.

14.   ALWAYS do a person search before adding someone to the system. Use the sounds like feature if you think the person may have different spellings of their name.  Search diligently before adding someone.

15.   You must enter an address on Applicant 1's person record within an Inquiry to save the inquiry record.

16.   Public agencies may view all providers and inquiries, but private agencies may only see providers and inquiries that have a past or current provider type with their agency.

17.   When you generate reports and Save, the system will retain them to the document history.  Do not save the report unless you should do so for documentation purposes or you will refer to the report later.  

18.   When using the Training Environment database, be aware the data entered will refresh whenever a build release is done unless it has been entered in the Master Training Environment.  Do not put real person/county data into Training, it should all be 'fake' for practice purposes.  

19.   When you are in an Ohio SACWIS form (i.e. letters, Medicaid cards, etc.), use the outer scroll bars (not the inner scroll bars) to move to the bottom of the screen, save, or exit.

20.   The ONLY way to save a report is to generate the report and then click the Save button.

21.   When printing forms, use the print icon (top upper left corner of the screen). Do not use the printer icon on the task bar.

22. Users are to check user guides, knowledge base articles, and online help for instructions before proceeding to an agency super user.  Only super users should be contacting the Automated Systems Help Desk for issues that cannot be resolved internally.
